eCMR

The eCMR is the digital version of the freight document (known as paper CMR). The eCMR provides information on the consignor, place of pick-up and consignee, place of delivery, the goods, RTI’s and all related information about the transport.

Statuses of the eCMR

  • Draft – Document is being created and not issued yet
  • Issued – The document is issued (saved and shared in the TransFollow Datahub) and the transport is ready to be collected at the consignor
  • Transit – The transport is picked up at the consignor and in transit to be delivered at the consignee
  • Delivered – The transport is delivered at the consignee
  • Delivered for Further inspection - The transport is delivered at the consignee but the consignee has not yet signed yet and will do this at a later stage after inspection.
  • Cancelled – The transport has been cancelled.

Filtering or sorting the eCMRs

Finding a specific eCMR by filtering or sorting the eCMRs can be done by clicking in the top bar.

Sort the eCMRs by clicking on ‘SORT’. Select ‘last modified first’, ‘planned date of taking over’ or ‘planned date of delivery’.

Select the status of the eCMR ‘on going’, to start’ or ‘All’. When you click on ‘All’, you can filter the eCMRs in more detail.

  • Show draft
  • Show issued
  • Show in transit
  • Show delivered for further inspection
  • Show delivered
  • Show cancelled

The eCMRs corresponding with these values will be presented on the eCMR overview screen.

Magnifying glass

If you are looking for a specific eCMR, you can also click on the magnifying glass to type in search data like the order number, consignee or consignor. At least three characters must be entered to start the searching action.

Actions to take on the eCMR

The document details present all information about the transport document including the agreements and instructions, the goods and the carriers. Before signing the eCMR and starting the signature process, the driver has the option to modify information and register remarks and observations. On this document detail screen the driver is able to perform multiple actions such as:

Add an observation

To add an observation to the document, you can click on ‘Add observation’ on the top or scroll down to the ‘Observation’ section. Indicate the level op importance; is it only information, a warning or an irregularity? Indicate the event when the observation occurred, was it during collection? Transfer to another carrier? or at delivery? More options are presented.

Write the observation in the next free text field. Upload supporting document or images to the observation. The last step is to indicate any additional information. This is a standard list similar to the paper CMR.

Save the observations and the information will be displayed on this section on the document details screen and on the PDF file of the document.

View the PDF

The PDF document file presents all the information like on the trusted paper consignment note. The goods, the involved parties, the registration of the arrival and departure times, the loading and unloading times. The signature and the location coordinates, and dates are recorded, but also the observations and the attachments.

Change the language of the screen to communicate with your counter party

When you counterparty speaks another language, you can indicate this on the document detail screen. The language of the screens to check by the counter party will be switched to this language.

The language TransFollow Drive supports are: Czech, Danish, German, English, Spanish, French, Italian, Dutch, Polish, Portuguese, Romanian, Finnish, Swedish, Turkish and Greek.

Assign this document to another carrier

Allow another person/company to perform a role on your behalf. Indicate your role and enter the email or username of the account to which you would like to assign the document. Click on the ‘assign’ button to finalize the assignment.

All assignments are presented on the bottom of the screen in the section ‘current assignees’. When you would like to revoke the assignment, you can click on the red trashcan. The other party will receive a notification if they have activated this on the notification settings [read more here].

Share PDF

When you want to share the PDF document, a QR code will appear on your screen. Please have the QR code scanned by your counter party to open the freight document PDF on your device. The PDF document will be presented on their device. You can also click on the sharing icon on the top right, to share the PDF by message or email.

Note: the PDF will be downloaded directly from the TransFollow DataHub, hence internet connectivity is required.

Duplicate

Duplicate the eCMR to create a new transport document with the exact same information. You will be redirected to the creation of the transport document screen. Read more about the creation process here.

Register arrival, loading

The registration of the arrival can be done in the section under the details of the consignor and consignee. Once the driver arrives at the consignor and later in the process the consignee, you can register the arrival. Once the driver starts the loading at the consignor or the unloading at the consignee, the driver can register these loading and unloading times as well by indicating the start and the finish of loading / unloading. This information will be presented on the PDF document.

Modify goods and RTI’s

Modify the number of the goods or the Returnable Transport Items and the seal numbers.

Add vehicle

Add a vehicle to the transport document. Enter the license plate number, the type (truck or semi-trailer), mileage at departure, milage at arrival, total distance driver and distance unit (kilometres or miles).

Starting the signing process on the eCMR

To start the signing process of the eCMR, you have to click on the eCMR on the overview screen.

Enter all the information needed before you go into the signing process, like adding an observation, modify the goods or register you arrival or departure and loading or unloading times. The submitter of the eCMR may have selected these action to be registered during the signing process as well.

Once you are ready to sign the eCMR, click on the first button on the top or scroll down bottom of the screen and click on ‘Start signing process’. Click here for more information about the signing process of the eCMR.

 

Changing the goods

You can adjust the goods by clicking on the goods you need to change on the detail screen of the digital consignment

note under the heading "goods". You can then change the following values:

- the number of packages

- the commercial value

- the gross weight

- the net weight

- the volume

- the number of loading places

Seal numbers

Under the head ‘goods’ you will find the seal number(s) of the vehicle. You can enter or change the seal numbers in this text field during the signing inspections or in the eCMR detail screen.

These seal numbers are visible on the PDF version and in the TransFollow Portal.

Returnable Transport Items (RTI)

During the signing process, you can also register the transfer of Returnable Transport Items (RTI) to the consignor or consignee that have been added to the digital consignment note in the section ‘goods’.

During the signing process you can adjust the number of items or for example, when the driver takes back a number of pallets in return.

 

  • Changing the returnable transport items (RTI)

If you want to change the RTI, click on the relevant line on the digital consignment note and you will be redirected to

the detail screen of the RTI item. You can adjust the number, quality and number of loading places here. Then click

on save.

  • Adding the returnable transport items

If you want to add returnable transport items, click on the ‘+’ sign on the details screen of the digital consignment

note.

You enter the packaging screen where you can enter the (short) name, number of packages, quality, number of

loading places, internal code, GS1 code and Serial Shipping Container Code. The data is stored on the consignment

note. Click save.

* You must be authorized to add RTI to the digital consignment note. The submitter can give you the rights to do so.
