Signing Methods the eCMR
Signing inspections
The signing inspections are indicated by the submitter of the eCMR in the TransFollow Portal. The driver will be guided through all the required inspections. After checking these elements, the driver and the counter party can sign the document upon pick-up or delivery.
- Seal Numbers - to review the seal number(s) mentioned on a consignment note
- Goods - to review goods mentioned on a consignment note
- RTIs - to review returnable transport items mentioned on a consignment note
- Times - to review arrival and departure times mentioned on a consignment note
- References - to review your specific information mentioned on a consignment note
- License Plates - to review licence plates mentioned on a consignment note
- Comments & Attachments - to review observations and attached documents linked to a consignment note
- Address - to review the loading or delivery location mentioned on a consignment note
- Temperatures - to review the controlled temperature mentioned on a consignment note
Signing the mission or eCMR
Permanent company QR-code / Sign by company code
TransFollow has enabled the possibility for counter parties (consignees and consignors) to sign for a freight document by presenting a permanent QR-code linked to the company. The user needs to go to the TransFollow Portal and indicate the information regarding ‘the ID code to be scanned’. The counter party can show the QR code in any form (on a device, company id card or printed). The driver can ‘Select Company code’ during the signing process and scan the QR-code.
Next, the carrier will see a message of approval of the correct QR-code and approve it. If the QR-code is not corresponding to the counterparty, the carrier will see a warning: “The counter party is not the place of taking over / delivery of the goods for the following freight document [FD number]’. If you are sure the counter party is correct, you can approve the signing of the freight document. The TransFollow Portal will label a warning that an error was detected during the signing.
Signing with a QR-Code (TF Approval)
With TransFollow Approval, every eCMR can only be viewed, managed or signed by the users with accounts linked to this specific transport document. This allows all supply chain partners to easily identify if the person at the location has access to the consignment note in question and is therefore authorised to check and sign it. Also, for every eCMR signed with TransFollow Approval, two unique QR codes are being generated. As the QR codes are only valid once, the freight document cannot be accessed again by copying and using the same code again, which helps to prevent fraud.
TransFollow Approval meets all criteria of the eCMR protocol.
To use this signing method the driver has to select ‘Sign using QR code’. A QR code will appear on the device of the TransFollow Drive app. The counter party opens in their TransFollow Drive app the left menu. The counter party has to click on ‘Start signing with QR code’. The app opens another screen and activates the camera. The counter party should scan the QR-code on the drivers device. After this the process repeats itself the other way around, the drivers scans the QR-code on the device of the counter party. After this, the confirmation of the signing is presented and the signing is finished.
Sign-on-Glass
Sign on Glass is a signing method where the counter party checks the information on the freight document and signs for pick-up or delivery. The driver than validates the information and signature. The signatures are presented on the PDF document of the eCMR.
Once the driver has selected the Sign on Glass method, he or she hands over the device to the counter party. The counter party will follow the steps before the signature can be placed. When the counter party speaks another languages, he can indicate his language of choose.
He has to fill in his name, company, email address and telephone number to have the signed documents send to this address.
Please check if the information on registered times, Goods, Returnable Transport Items, Temperature, Observations. Add Observations and view the PDF document of the eCMR. Once everything is checked, the counterparty can click on ‘proceed to signature’
He or she can place the signature on the glass and click on validate. The proof of transfer code is presented and the copy of the signed documents is send to the addresses listed on the screen.
The counterparty gives the phone back to the driver, who approves the signing summery and approves the signature.
Sign without Approval of the Counterparty
By signing without approval of the counterparty it is the driver himself signing for the pick-up or delivery of the transport. He will go through the signing inspections like the submitter has indicated. Choose the signing method Sign without Approval of the Counterparty”. At the end of the signing process, click on the blue button ‘Sign’. The eCMR is signed and the driver will go back to the eCMR overview screen.
Sign with a code (from a distance)
Select the signing method: ‘Sign while keeping the 2-meter distance with the counterparty’. In the next screen you can indicate the email address and name of the counterparty. The e-mail and the name of the counterparty will automatically be filled in from the information on the consignment note, but it is possible to modify this. An email will be sent to the email address. The e-mail contains an URL-link to the PDF version of the consignment note. The counterparty can check the details and information. The consignment note will also contain a unique 4 digit code. The counterparty must communicate this 4 digit code to the driver verbally. The driver confirms the 4-digit code in the next step. After the validation, the driver will be asked to sign on glass. After the signature on glass by the driver, the signing process is complete.
